## Control food cost across every location.

Turn counts, supplier invoices and daily sales into food cost, buying priorities and a clear view of waste at every location.

> On Monday, you pull supplier invoices, count sheets and sales from different places, then try to work out what changed before placing orders for every location in the group.

### Approve invoices with prices in view.

Upload an invoice photo or PDF. AI reads lines, matches items or proposes new ones, flags increases over last price paid and blocks duplicates per location.

- Produce invoice: Friday's receiving lead photographs the invoice and reviews a flagged tomato price increase.
- New item: An office manager uploads the dairy PDF, and Inventory proposes a new cheese item.
- Repeat delivery: At Downtown, the GM photographs an olive oil invoice a second time, and Inventory stops the duplicate.

### Catch count differences before they linger.

Staff count blind on a phone by area or store. Managers confirm or revert flags for above-book counts or faster-than-usual use, with a reason.

- Walk-in: At Riverside, a line cook counts salmon in cases without seeing book quantities.
- Back bar: Before Saturday service, a bartender records gin in ounces without seeing the book quantity.
- Count review: Northside's area manager confirms a count flagged above book stock and records a reason.

### Send suppliers the right order quantities.

Items below target show the quantity needed to reach target, grouped by the supplier who last invoiced them. Copy, print or send by email or WhatsApp.

- Produce order: The sous chef prints Lakeside's produce list with quantities needed to reach target.
- Dairy order: At Downtown, a shift manager sends the below-target milk list to its supplier by WhatsApp.
- Weekly order: The owner copies Riverside's below-target stock list before Tuesday's order.

### Tie daily sales to food cost.

Enter daily net sales to track food cost between counts. Review status, eight-period trend, dollar gap to target and waste by reason, item and shelf.

- Breakage: During Saturday dinner cleanup, the dishwasher logs a broken glass as breakage.
- Sales row: At Lakeside, a location manager enters Tuesday's net sales before reviewing that period's food cost.
- Waste review: A floor manager compares Riverside's waste totals by reason across the 30-day view.

### Inventory moves through a normal week.

- Receive (Manager): Upload an invoice photo or PDF, review matched lines and approve stock receipt.
- Count (Staff): Count stock by area or store on the phone without seeing book quantities.
- Log waste (Staff): Record spoilage, prep errors or returns as they happen and choose a reason.
- Enter sales (Manager): Add daily net sales in one row to complete the food cost view.
- Food cost: Status, trend and dollar gap to target by location.
- What to buy: Items below target, quantities needed and supplier grouping.
- Where waste goes: Totals by reason, item and shelf over 7, 30 or 90 days.

### Run inventory from the dashboard.

- Review food cost status and its eight-period trend across locations.
- Approve invoices after reviewing flagged price changes.
- Confirm or revert flagged counts, with a reason.
- Send each supplier a buying list by email or WhatsApp.

### Record stock work on shift.

- Count stock by area without seeing book quantities.
- Log waste with a reason as it happens, without seeing costs.
- Pause a count draft and resume it later.
- Count bar stock in any unit.

### Codex Copilot: Handle routine inventory work across locations.

In the dashboard, Codex Copilot works across inventory records to receive invoices, file counts, adjust stock, log waste, enter sales and approve invoices.

- "Receive Northside's produce invoice and flag changes from the last price paid."
- "File this morning's Riverside walk-in count as a draft."
- "Adjust Downtown's olive oil stock to match the count I entered."
- "Log Lakeside's overcooked salmon as a prep error."
- "Enter Tuesday's net sales for Northside from this report."
- "Approve Riverside's latest dairy invoice after I review the flagged prices."

## FAQ

**What is Restaurant Codex Inventory?**

Restaurant Codex Inventory is inventory software for restaurant groups. It uses counts, supplier invoices and daily sales to show food cost, buying needs and waste by location, with an all-location roll-up for owners.

**Will my staff use Inventory on shift?**

The staff app installs from a browser to a phone home screen, with no app store, email or password. After an SMS invite or QR code, team members sign in with a code by text. English, Latin American Spanish and Latin American Portuguese are available per person.

**Can I compare food cost across locations?**

Yes. Inventory gives owners food cost by location and an all-locations roll-up in the dashboard. Each location tracks counts, supplier invoices and daily sales. Owners have access to every location, while managers see their assigned locations.

**How long does setup take for our group?**

Restaurant Codex runs an 8-Week Implementation Program with weekly one-on-one meetings, hands-on support and ongoing guidance. The team works with your group through rollout.

**What do we need to bring to start?**

Start with your item list. Enter counts, supplier invoices and daily net sales to get inventory results. Recipe mapping and a POS sales feed are not required to start. Upload a PDF or up to five photos of a supplier invoice.

**How does Inventory connect to the other modules?**

Inventory is one of four modules alongside Operations, Knowledge Base and Training and LMS. Codex Copilot works across records in every module within each person's access. POS sales feeds and supplier ordering are custom integrations through the Restaurant Codex development team.
