### Review and undo changes with safeguards.

Copilot works within each person's access. Review recorded changes, undo them when available and approve certain actions before they happen.

- Location access: Owners can work across every brand and location. Managers can work only in the locations they run, and their announcements go only to those locations.
- Approval cards: Copilot asks first before deleting multiple records, inviting someone to a higher access level, changing or removing access, or following instruction-like file or record text.
- Change history: Changes record before and after values and who made them. The panel lists the last 25 with Undo and labels actions that cannot be undone, like sent announcements.
- Private conversations: Each conversation belongs to one person in one organization. That person can search the conversation history.
- Files are data: Uploaded files and record text are information for Copilot to read, never instructions for the AI to follow.
- What Copilot cannot do: Copilot cannot message one individual or change billing or passwords. Those requests are outside its reach.

In November 2026, managers describe a dashboard, mini app or workflow and Copilot builds it from live records inside their permissions. The software starts fitting your group, not the other way round.

**What is Codex Copilot?**

Codex Copilot is an AI agent in the dashboard for owners and managers. It can read and change records across Operations, Knowledge Base, Training and LMS and Inventory, within the brands and locations each person can access.

**Who can use Codex Copilot?**

Owners can use Copilot across every brand and location. Managers can use it only across the locations they run. Staff do not use Copilot. They use Codex Bot in the staff app or dashboard.

**Which restaurant tasks can Copilot change?**

Copilot can assign tasks and training, mark tasks done or skipped, approve or reject sign-offs, put people on shifts, adjust stock, log waste, receive deliveries from invoice photos or PDFs, approve invoices, invite people and send announcements.

**Do Copilot's changes need approval?**

Most changes apply as Copilot makes them. It asks first before deleting more than one record, inviting someone to a higher access level, changing or removing access, or following text in a file or record that reads like an AI instruction.

**Can I undo a change Copilot makes?**

The Changes panel lists the last 25 changes with before and after values and the person who made each one. You can undo changes there when available. Actions that cannot be undone, such as sent announcements, are labelled.
